Spring Fair & Food Festival Registration

THE SPRING FAIR & FOOD FESTIVAL WILL BE HELD MARCH 23-25

PLEASE READ BELOW FOR ALL DETAILS PRIOR TO REGISTERING! 

NO MORE LU LA ROE VENDORS WILL BE ACCEPTED FOR THIS EVENT.

-There are 2 registration forms. One for Food and one for all other vendors.

-You may register online and pay via paypal below, or you may register by printing out the forms below and mailing them to PO BOX 290610, Port Orange, Fl. 32129 or call 386-506-5935 to pay by credit card. *For your own protection, do not email your credit card information.

PLEASE NOTE!!!! THERE WILL BE  A $100 LATE FEE FOR POWER OR BOOTH PACKAGE REQUESTS  AFTER 3/9/18. THERE WILL BE A $200 FEE FOR POWER OR BOOTH PACKAGE REQUESTS ON DAY OF EVENT.

-ALL VENDOR PACKETS WITH UNLOAD INFORMATION AND SPACE NUMBERS WILL BE SENT OUT APPROXIMATELY 10 DAYS PRIOR TO THE EVENT. ONLY 1 UNLOAD PASS PER VENDOR.

-ALTHOUGH WE PROVIDE OVERNIGHT SECURITY, PORT ORANGE FAMILY DAYS IS  NOT RESPONSIBLE FOR LOST OR STOLEN ITEMS OR ANY WEATHER RELATED DAMAGES

-DUE TO THE NATURE OF THIS EVENT, IT WILL BE HELD RAIN OR SHINE. NO REFUNDS WILL BE GIVEN

THERE WILL BE A $50 CANCELLATION FEE UP TO TWO WEEKS PRIOR TO EVENT.  NO REFUNDS WILL BE GIVEN AFTER  3/9/2018  CREDITS WILL BE GIVEN AT THE  DISCRETION OF THE FAMILY DAYS BOARD OF DIRECTORS.

-Please make a note on your registration for special requests, we will try our best to accommodate. No subletting of spaces allowed without consent of Port Orange Community Trust

-NO SUBLETTING OF SPACES OR DISTRIBUTION OF PROMO ITEMS OR SWAG OTHER THAN THE BUSINESS LISTED ON THE APPLICATION

FOOD VENDOR RULES AND REGULATIONS

  • POST MENU AND PRICE LIST AT EYE LEVEL FOR PATRONS
  • PROVIDE YOUR OWN TRASH CAN FOR ANY GARBAGE GENERATED AT YOUR SPACE FROM PREPARING AND COOKING. WE WILL PROVIDE TRASH CANS THROUGHOUT THE EVENT FOR PATRONS.
  • WE WOULD LIKE YOU TO BE SELF CONTAINED AS FAR AS POWER. WE DO HAVE LIMITED POWER AVAILABLE, BUT IT IS ONLY 20 AMP. IT WILL TRIP IF YOU ATTEMPT TO RUN A FRYER OR ANY OTHER SIMILAR EQUIPMENT.
  • WE NEED YOUR CERTIFICATE OF INUSRANCE AND LICENSE, ALONG WITH PAYMENT TO COMPLETE THE APPLICATION PROCESS.
  • YOU MUST HAVE A FIRE EXTINGUISHER AT YOUR SET UP
  • YOU ARE RESPONSIBLE FOR PROPERLY DISOPOSING OF ANY COOKING GREASE

GENERAL RULES FOR ALL VENDORS

  • YOU ARE RESPONSIBLE FOR KEEPING YOUR SPACE FREE OF TRASH
  • NO FOUL LANGUAGE WILL BE PERMITTED
  • NO SMOKING IN YOUR SPACE
  • YOU MUST BE SET UP 30 MINUTES BEFORE OPENING
  • YOU MAY NOT BREAKDOWN YOUR SPACE PRIOR TO 5PM. (FOOD VENDORS, 9PM ON SATURDAY, 6PM ON SUNDAY)
  • YOU ARE EXPECTED TO PARTICIPATE BOTH SATURDAY AND SUNDAY. NOT PARTICIPATING ON SUNDAY WILL DISQUALIFY YOU FROM A SPACE AT NEXT YEAR’S EVENT, OR YOU WILL RECEIVE A SPACE AT THE VERY END SO WE DON’T HAVE MISSING TENTS THROUGHOUT THE CIRCLE.
  • YOU ARE RESPONSIBLE FOR THE SECURITY OF YOUR SPACE. WE DO PROVIDE OVERNIGHT SECURITY, BUT ARE NOT RESPONSIBLE FOR STOLEN OR DAMAGED ITEMS.
  • IF YOU STAY OPEN AT NIGHT, YOU MUST SUPPLY YOUR OWN LIGHTING

WE WILL ACCEPT APPLICATIONS BASED ON THE NEEDS OF THE EVENT. WE MAY TURN VENDORS AWAY IN THE CASE OF TOO MANY OF THE SAME TYPE OF BUSINESS.
